Define the finished record
Name the destination system and the business purpose of the entry. Identify required fields, approved formats, acceptable source documents and the person who reviews exceptions. A clear output specification lets the team distinguish a completed entry from an unresolved item.
Prepare the handoff checklist
Agree these details before sending a live queue.
| Handoff item | What to document | Reviewer check |
|---|---|---|
| Sources | Approved location, version and record reference | The source is available and current |
| Field rules | Required values, format and permitted transformations | Rules preserve the intended meaning |
| Access | Assigned system role and authorized actions | Permissions match the task |
| Exceptions | Missing, conflicting and unreadable inputs | Each has an owner and next action |
| Acceptance | Sample method and correction process | Entries can be traced to evidence |
Use a representative work sample
Include routine records and a small number of realistic exceptions in fictional or anonymized material. Check whether the assistant follows field rules, preserves references and raises uncertainty. A fast clean sample alone does not show how the team will handle a missing source.
Example: an invoice reference is unreadable
The assistant records the item as needing clarification, links the source and asks through the approved route. They do not infer the number from a similar invoice. Once the owner supplies a readable source, the entry can be prepared and reviewed. Keep the clarification attached so another team member can reconstruct the decision.
Separate preparation from release
Where the destination supports drafts or staging, use that boundary for the first batch. Name who accepts corrections and authorizes consequential updates. Data entry permissions do not imply approval to release payments, change policies or delete official records.
Review corrections and unresolved work
Compare accepted entries against their sources and inspect a selection of exceptions. Record the reason for corrections: unclear instructions, wrong source, transcription or destination mapping. Update the procedure when the same cause repeats, and keep unresolved records visible at handoff.
Agree the recurring handoff
Set the queue location, review window, escalation contact and completion record. Start with a manageable batch and expand after the output is consistently reviewable. Explore data entry specialists and bring an anonymized source/output pair to a scope discussion.
