supplier refund follow up tracker

A supplier refund follow up tracker monitors money a supplier has agreed to return but that the business has not yet received. It keeps the promise, follow up history, expected payment route, and eventual receipt connected without posting cash that is not in the bank.

Suppose a supplier approves a refund for a duplicate payment and says it will arrive by ACH. The tracker should show the approval and expected amount, but accounts payable should not mark the refund received until finance can identify the deposit.

Start with an approved refund, not a complaint

Open the tracker only after the supplier has acknowledged a credit or refund, or after an authorized internal owner has documented the amount being pursued. An unresolved invoice dispute belongs in the dispute queue because the supplier has not yet committed to return anything.

Link the credit memo, supplier email, return authorization, or other source that supports the expected refund. Record the supplier account and the original payment or invoice that created the balance. Keep the wording of any conditions, such as returning goods or supplying bank confirmation, with the source.

Record the promise in usable fields

The entry should answer what is expected, who promised it, when follow up is due, and what evidence will close the item. Avoid a free-form note as the only history.

Do not store full bank instructions in this working tracker. Use the approved payment system for sensitive details and place a restricted reference in the entry.

Set follow up from the supplier's own timing

Use the date or range supplied in the approval. If the supplier says only that processing has started, ask for the method, amount, and expected date instead of inventing a deadline.

Each reminder should quote the supplier's case number or credit memo and ask one narrow question. Record the reply, including a check number, remittance reference, card suffix, or trace reference when the supplier provides one. A promise that payment was sent changes the search information, not the receipt status.

Keep expected refunds out of the cash record

IRS Publication 583 explains that business records should connect transactions with supporting documents. For this process, the supplier approval supports the expectation and the bank or card record supports receipt. The publication does not decide how a specific refund should be posted.

Accounts payable can maintain the follow up history and prepare evidence for finance. An accountant or authorized finance owner decides the ledger treatment, period, and account. The tracker should point to that disposition rather than copying an unsupported journal instruction.

Escalate changes to the promise

Stop routine follow up when the supplier changes the amount, claims the credit was already used, sends unfamiliar bank instructions, or names a different payee. Preserve the earlier promise beside the new statement.

If a supplier says a refund was issued but no matching receipt appears, send finance the expected method, amount, issue date, and available reference. Do not ask a coordinator to choose a vaguely similar deposit. A possible match moves to receipt investigation.

Close on one of three documented outcomes

Close the item as received only after finance links an actual bank or card entry to the supplier evidence. Record the receipt date, amount, destination account reference, verifier, and accounting disposition reference.

The other valid endings are an authorized offset against a supplier balance or a documented cancellation of the expectation. Both require the responsible owner's instruction. A supplier reminder, check image, or claimed trace number alone does not close the tracker.

Review the aging queue

Review open refunds by the supplier's promised date, not merely by the date the row was created. Separate items awaiting the supplier from items awaiting an internal receipt search. That split shows where the next action belongs.

Check old entries for repeated promises, missing approval sources, amount changes, and possible receipts that finance never resolved. Use the vendor statement missing invoice queue when a credit or refund cannot be understood without missing payable documents.

Delegate the follow up without delegating accounting

A virtual bookkeeping assistant can maintain the tracker, send approved reminders, attach supplier replies, and prepare possible-receipt packets. The assistant should not release bank information, accept changed terms, apply a credit, or post the refund without written authority.

HireBackOffice bookkeeping support can cover the recurring administrative work after your team defines contact templates, system access, escalation owners, and closure evidence. Contact HireBackOffice with the monthly volume and supplier systems involved.

Frequently asked questions

When should a supplier refund enter the tracker?

Add it when a supplier has approved or acknowledged the refund, or when an authorized owner has documented the amount to pursue. Keep unresolved invoice disputes in their existing review process.

Does a credit memo prove the money arrived?

No. A credit memo supports the supplier's obligation or account credit, while a bank or card record supports receipt of money.

What if the supplier changes the refund amount?

Keep both amounts and their sources, then send the difference to the owner responsible for the supplier account. Do not silently revise the expected amount.

Which tasks can a virtual assistant perform?

An assistant can track promised dates, send approved follow ups, organize documents, and prepare an exception packet. Finance retains matching, posting, offset, and write-off decisions.

FAQ

What should the tracker contain?

Keep a stable case reference, source links, observed values, required decision, named owner, status, system result, and verification evidence.

Can a virtual assistant own this workflow?

A trained assistant can maintain intake and prepare evidence while authorized company owners retain approvals and consequential decisions.
