Vendor Operations

Vendor Master Change Request Control for Finance Teams

Build a controlled vendor master change request control with clear evidence, ownership, privacy boundaries, exception handling, and reviewer handoffs.

General operational information only. Authorized owners and qualified advisers retain accounting, tax, legal, employment, privacy, security, and compliance decisions.

Illustrated workflow board for vendor master change request control

A vendor master change request control protects the point where supplier identity, payment destination, tax details, address, and contact data are altered. The central risk is treating a plausible message as authority. Compromised mailboxes and impersonation attempts can carry correct invoice history, urgent language, and familiar signatures.

Open a request without trusting its channel

Preserve the original message or document and assign a request identifier. Capture vendor identifier, requested fields, stated effective date, requester, source channel, related invoices, and whether payments are pending. Compare the requested values with the current master, but do not update them during intake.

Classify the change. A mailing address correction, legal name change, tax classification update, bank destination change, and contact replacement require different evidence and owners. Bundled requests should be separable so one unresolved high risk field does not obscure the disposition of another.

Verify through a maintained contact path

For sensitive changes, contact the vendor using details already held in an independently maintained source, such as the approved master or contract file. Record who initiated verification, the number or channel used, person reached, questions permitted by policy, result, and time. Do not copy a telephone number from the same email that requested new bank details.

The FBI Internet Crime Complaint Center's 2024 IC3 Annual Report describes business email compromise and related fraud losses reported to IC3. That evidence supports taking impersonation risk seriously. It does not establish that a particular request is fraudulent or prescribe the organization's exact approval design.

Hold payment effects until approval

Link open invoices, scheduled payments, credits, and refunds that could be affected. Finance policy should define whether they pause while verification is incomplete. An urgent due date is information for the approver, not a reason to bypass controls.

The approver should receive the original request, independent verification result, supporting documents, before and proposed values, and payment impact. Approval must identify which fields may change. A vague reply such as looks good should not authorize additional edits.

Enter exactly what was approved

The operator records before values, approved after values, system, time, and change reference. If the application normalizes or rejects a value, stop and return the discrepancy rather than improvising. Restrict vendor master permissions and review privileged access periodically.

A separate readback compares the saved master with the approval and checks related payment setup. Notify the vendor through the approved channel when policy requires it. Retain failed verification and rejected requests as security or fraud evidence under the proper access rules.

Accounts payable assistant support can collect and route change packets while approval remains with finance. The vendor bank detail verification log offers a deeper record design for the highest risk field.

Monitor control exceptions

Review changes made without a request, verification using request supplied contact details, same person approval and entry, edits immediately before payment, failed callbacks, and after hours activity. Reconcile the request log to system audit history so bypasses are visible.

Start with bank and remittance changes, because their payment impact is direct. Test several completed requests from source message through readback. Add other field classes only after the team can explain who verified, who approved, what changed, and which payments were affected.

FAQ

Why is email alone weak evidence?

An email can be spoofed or sent from a compromised mailbox, so the team should use an independently maintained contact path.

Can a virtual assistant change bank details?

Only within documented access and approval boundaries. Collection and routing are different from approval.

What should happen to an urgent request?

Urgency should be recorded, not used to skip verification or payment controls.

When is the change record complete?

Completion requires attributable intake, verification, approval, entry, and review evidence.
