Move invoices from the shared inbox to a complete review packet with vendor details, approvals, due dates, and exceptions in one place.

Who this role is for

Accounts payable support for a queue that has outgrown informal handoffs.

Finance teams with a busy invoice inbox, missing purchase orders, and approval follow-up scattered across email. The role fits an organization that already has a payment process but lacks a consistent person to prepare the packet before review.

Payables slow down when the invoice, purchase order, receipt, vendor record, and approval live in different places. The reviewer then has to reconstruct the transaction. A payable assistant creates one evidence packet per invoice and keeps the exceptions visible before the payment run.

Recurring work in scope

What this role handles each week.

  • Log incoming invoices and due dates
  • Match invoices to purchase orders and receipts
  • Request missing vendor documents
  • Prepare approval queues and payment packets
  • Track duplicate, coding, and pricing exceptions

What enters the workflow

Inputs the assistant needs before work begins.

  • Invoice inbox or approved invoice folder
  • Purchase orders, receipts, and vendor master rules
  • Coding guidance and approval thresholds
  • Payment calendar and named release owner

How the work moves

A repeatable workflow, not a private task list.

  1. Log and classify the invoice

The assistant records the vendor, invoice number, amount, due date, and cost owner, then checks for an existing record before creating a new one.

  2. Match the evidence

Invoice values are matched to the purchase order, receipt, and vendor record. Missing documents and price or quantity differences are held as exceptions rather than forced through.

  3. Prepare the approval packet

The assistant assembles the invoice, support, coding suggestion, and a plain-language exception note. The authorized approver receives one packet with the decision clearly marked.

  4. Track to release and file

Approved items move to the payment calendar. The assistant tracks the release date and stores the final evidence in the agreed folder for later review.

What the role produces

Deliverables your reviewer can inspect.

  • An invoice register with status and due date
  • A missing-document and mismatch queue
  • Approval-ready packets by cost owner
  • A payment-run checklist with released and held items

Quality controls

  • Duplicate invoice check before entry
  • Three-way match rules written before the first batch
  • Vendor bank-detail changes routed to a separate owner
  • A sample review of coding and support completeness

A starting scenario

A recurring software invoice with a changed bank account

An invoice arrives with new remittance details. The assistant matches the amount and service period but flags the bank change, attaches the vendor notice, and routes it to the finance owner. Payment stays on hold until the change is verified through an independent channel.

Review boundary

Preparation moves out. Final authority does not.

Your VA prepares and tracks the payable workflow. Vendor approval, bank-detail changes, accounting treatment, and payment release remain with authorized finance owners.

Questions to settle

Accounts payable service questions

Can the assistant approve or release payments?

No. Approval, bank-detail verification, accounting treatment, and payment release remain with authorized finance owners. The assistant prepares and tracks the packet.

What happens when a purchase order is missing?

The invoice stays in an exception queue with the missing item named. The assistant can request the document from the named owner, but does not invent a purchase order or coding decision.

Does this replace the accounting system?

No. The assistant works inside the client's existing system and keeps the supporting evidence organized around it. The system of record remains the client's.
