Data Entry Virtual Assistant

Keep CRM, spreadsheet, order, and customer records current without asking your core team to spend another afternoon cleaning rows.

Who this role is for

Data entry support for a queue that has outgrown informal handoffs.

Teams whose customer, order, inventory, or vendor records live in a system that is always one update behind. The role fits an operation with a steady intake of forms, spreadsheets, or copied records and a named person who can approve the source of truth.

Data work becomes expensive when it is passed around as a side task. Fields get skipped, duplicates accumulate, and the team cannot tell whether a record is current. A dedicated data entry assistant turns that loose work into a documented queue with a visible exception path.

Recurring work in scope

What this role handles each week.

  • Enter records from approved source documents
  • Clean duplicate and incomplete records
  • Update CRM fields and account notes
  • Maintain order, inventory, and status trackers
  • Flag mismatches instead of guessing

What enters the workflow

Inputs the assistant needs before work begins.

  • Approved source documents, forms, exports, or system screens
  • Field definitions, required values, and allowed formats
  • Duplicate and incomplete record rules
  • A named reviewer for conflicts and account ownership

How the work moves

A repeatable workflow, not a private task list.

  1. Capture from the approved source

The assistant opens the source record, confirms the document or export is complete, and enters values into the agreed fields. Screenshots, personal notes, and verbal updates are not treated as source records.

  2. Validate before saving

Required fields, formats, duplicate matches, and cross-field rules are checked against the written standard. Anything that does not match stays in a hold queue instead of being guessed into the system.

  3. Route exceptions with evidence

Each conflict gets a short note that names the record, the missing or conflicting value, the source, and the decision needed. The reviewer can resolve it without reopening the entire batch.

  4. Close the batch and report

The assistant records counts for entered, corrected, held, and returned records. A weekly sample is checked against the source so the team can see whether the queue is getting cleaner.

What the role produces

Deliverables your reviewer can inspect.

  • A current entry log with owner, source, status, and date
  • A duplicate and incomplete record queue
  • A field-level exception summary for the reviewer
  • A repeatable batch close checklist

Quality controls

  • A second-pass check on a defined sample of each batch
  • Duplicate matching before a new record is created
  • Source retention so every value can be traced back
  • Errors logged by cause, not only by count

A starting scenario

A CRM update batch with three conflicting account owners

A sales team sends 180 account updates from a spreadsheet. The assistant matches each row to an existing account, holds three rows where two owners claim the same account, and returns two rows with no source note. The reviewer resolves five exceptions and approves the rest without rebuilding the batch.

Review boundary

Preparation moves out. Final authority does not.

Your VA works from approved sources and documented rules. Account ownership, policy decisions, and unresolved data conflicts stay with your internal reviewer.

Questions to settle

Data entry service questions

Can the assistant decide which duplicate record is correct?

No. The assistant identifies the duplicate and gathers the evidence. Account ownership, merge approval, and deletion decisions stay with the internal owner.

What systems can a data entry assistant work in?

The role can work in a CRM, spreadsheet, order system, or document store after the client provides named access and a documented field guide. Access should be limited to the records needed for the assigned queue.

How is quality measured without inventing a benchmark?

Measure the client's own sample: entries checked, errors found by field, records held for review, and corrections after review. Those counts are useful because the source and review rule are visible.

Define the first workflow

Build a focused data entry role.

Start with the current queue, the source of truth, the deadline, and the person who keeps final approval.
