Bookkeeping Assistant vs Bookkeeper: What Can You Delegate?

Compare a preparation role with the bookkeeping responsibilities your business needs, using outputs and review authority rather than titles alone.

Compare responsibilities rather than titles

Job titles do not define a universal permission boundary. A bookkeeping assistant is commonly scoped around preparation and administrative support, while a bookkeeping role may include maintaining the books under an agreed remit. Confirm the individual’s experience, assigned responsibilities and reviewer rather than assuming a title grants authority.

Define the preparation work

A support brief can cover collecting source records, checking required references, maintaining missing-document lists and assembling review packets. Specify approved instructions for routine entries or matching tasks if those are included. Questions about classification, adjustments or unsupported records should go to the owner named in the scope.

Write down the retained decisions

Name who approves accounting treatment, changes to official records, access permissions and final outputs. Keep payment release or other consequential authorization separate where the business requires it. A broad software login is not a substitute for a written responsibility boundary.

Example: two records disagree

An assistant can compare the references, preserve both sources and describe the difference. The reviewer decides which record governs and whether a correction is authorized. A bookkeeping professional may have a broader agreed remit, but that remit should still be documented for your business and system.

Use the same work sample when hiring

Give candidates fictional or anonymized records and clear instructions. Include a missing source and a conflicting reference. Assess whether they document uncertainty, explain their assumptions and respect the review boundary. Ask which parts of the task they would prepare and which require an owner’s decision.

Choose the role that matches the gap

If qualified staff already own review but spend time collecting documents, a preparation role may fit. If nobody owns the books or the accounting decisions, define that responsibility before adding administrative capacity. Use the service scope to agree what will be prepared, reviewed and approved.

Plan the handoff
