Eight focused back office roles

A defined role for the queue your team keeps reopening.

Start with the recurring work, not a job title. Each scope below names the inputs, the preparation tasks, the evidence produced, and the decisions that stay with your team.

What the service system covers

Preparation work that has a source, a deadline, and a reviewer.

Back office support is not a single task. It is the recurring work that keeps finance, people, records, and control processes current. The useful question is not whether a virtual assistant can be busy. It is whether the role can produce a queue your team can inspect and approve.

Each HireBackOffice role starts with a narrow scope. The assistant receives approved sources, follows a written standard, and routes exceptions to a named owner. We add work only after the first handoff is stable, visible, and consistently checked.

These are not generic assistant profiles. Each scope names recurring tasks, expected outputs, and the boundary that remains with an authorized reviewer.

A practical first engagement

Choose work that is teachable, repeatable, and reviewable.

The first role should reduce a recurring queue without moving final authority out of the business. We look for work with a clear source, a stable output, and a reviewer who can recognize a complete item.

Good first work
Recurring tasks with approved source documents, deadlines, and a named reviewer.
Needs a boundary
Changes involving money, employee data, customer accounts, access, or policy.
Keep with an owner
Final approvals, professional judgment, legal interpretation, and funds release.
Expand after review
Add scope only when the first queue is stable, documented, and consistently checked.

Service questions

What to settle before the first handoff

How do we choose the first service?

Pick the queue that repeats every week, already has source documents, and has a person who can review the output. A large backlog is less useful than a stable recurring task with a clear definition of done.

Can one assistant cover several services?

Sometimes, but the first scope should stay narrow enough to review. A combined role can work when the tasks share the same source records and review owner, and when the weekly volume leaves room for quality checks.

What access does the assistant need?

Only the systems, folders, and records required for the assigned queue. Use an individual account, require multifactor authentication where available, and remove access when the assignment ends.

How do we know the work is good?

Define a sample before the first batch. Review completeness against the source, count exceptions by cause, and track corrections after review. Those local measures are more useful than a generic productivity claim.

Turn a backlog into a role

Start with one queue your team handles every week.

We will help separate repeatable support work from the decisions and approvals that need to stay in house.
